Business Importer application Purpose
Business Importer is designed to import spreadsheets into QuickBooks Online as a solution to automate your workflow, avoiding countless hours of manual data entry.
The supported file formats for importing are: xlsx, csv, DropBox and Google Drive spreadsheets.

Login Process


Connecting Business Importer app:

  • Login to QuickBooks Online.
  • Find and connect Business Importer to QuickBooks Online:

 

 

  1. Click on Apps on the left side menu tab if it is available in your QuickBooks Online version*
  2. Find the Business Importer app
  3. Click on Get App Now
*Otherwise you can find and connect the app through the Intuit AppStore (press Get App now) or use a direct link to the app https://b-importer.com/login/auth (press Sign in with Intuit).

Connecting the app in the Intuit AppStore

  • Authorize Business Importer to access QuickBooks by clicking on Connect. (Change the Intuit account if needed by clicking on Not you in the upper right corner).
  • If you have several companies, you will be given a list to choose a preferable company.

If you have already been using Business Importer Online:
  • Sign in with Sign in with Intuit button

Congratulations! You are signed in and can start importing files into your QuickBooks company.

Import Process


The Import process is simple and contains just 4 steps:

Step 1: File Uploading
  • Prepare your file. Use the in-app template to have the mapping fields pre-filled. (Download it from the Import page)
  • Go to Import tab on the left-side menu.
  • Press Upload a file (.xslx, .csv), and select the necessary one.
  • If you have used the same file in previous import, just tick Use previous file option.
  • Use Enter URL field if you want to upload DropBox or Google Drive sheets link. (Check out the guide how to import using Google Drive sheet).

Step 2: Select sheet
  • Select the name of the sheet needs to be imported from the import file.

Step 3: Mapping
Here you will match the fields from your file to QuickBooks fields and can alter your Business Importer Settings to suit a specific import:
  • Choose the company that you will be importing into from the dropdown list, if you have several companies connected.
  • Choose the entity you are going to import.
  • If you want your mapping to be saved, specify the name of the mapping, or choose already existing one.

  • Edit your import Settings if needed. (They can be helpful for example if you want DocNumbers, Customers, Vendors, Accounts or Products to be auto-created in your company during the import.)

Example of a Setting you can change at the Mapping step

  • Map Provider Labels to the labels from your import file. To leave the field unmapped leave it at Select Label. All mapping fields will be pre-filled in case you are using our template.
  • Click on the purple i icon to get tips about the mapping fields meaning
  • Use Help Me with Mapping (right side of the screen) to see where the fields from mapped values will be inserted into in QuickBooks.
  • Use Default Value column to insert default value to all of the lines of that column.
Fields marked with red asterisk (*) are required by QuickBooks and must be filled in for the import to go through.

Mapping tips and Mapping Helper options to help you with your mapping

  • If some of mapping fields are grey and inactive, it means that they are disabled in your QuickBooks company, please enable them via QuickBooks user interface for the following mapping in Business Importer.

Step 4: Preview
  • Preview and edit import data at this step.

  • If you are happy with the result, click on Start Import
  • No need to wait until the import is finished. You will be notified by email, unless you opt out of receiving email notifications the app.

Import Results


You will be able to find import results if you click on ID number of the import under Imports History tab in the left-side menu. There you also can:
  • Revert the import using Revert Import button on the top of the screen (1).
  • See the status of your import (2).
  • See the File you imported and the sheet (3).
  • Check out the Mapping fields (4).
  • You can choose the shown results of the import according to the status(5). You can select all the failed imports, if there are any.
